Refund & Cancellation Policies

Policies, programs, artists, dates, times and prices are subject to change without notice. Additional fees may apply. Patrons are requested to review the refund and cancellation policies before registering for events.

Events & Ticketed Programs Policy

Cultural Event


The following event and item purchases are final and nonrefundable:

  • Donations in cash or kind
  • Fundraisers and galas
  • Donor event registrations
  • Memberships
  • Silent auction items
  • Art and artisan products
  • Entry fees (exhibits)

Once you register for an event, including gallery talks, film screenings and performances, NO REFUNDS will be issued unless the event is canceled by West Windsor Arts.

Cancellations

If an event is canceled by West Windsor Arts, a full refund will be offered. Refunds will only be made to the original purchaser, to the credit or debit card used during purchase, and issued for the value of the registration. Check and cash payments will be refunded by check to the purchaser’s name and address listed during the purchase.

Postponement or Rescheduling of an Event

If an event is rescheduled to a new date, original registrants can choose from these options within 10 (ten) business days of notification of the change:

  • Keep your existing registrations and they will be valid for the new date, OR
  • If you cannot make the new date, you can:
    • Donate your event registrations and receive a tax deduction OR
    • Receive a 100% credit for the value of your registration to apply toward future events or a class or camp.

Credits must be redeemed by the expiration date noted in the email you receive. Credits cannot be applied toward the purchase of art or artisan products, have no cash value, and are nontransferable. Credits may not be applied to previously placed orders and may not be redeemed to purchase tickets for the same event as the tickets in your original purchase for which you accepted the credit.

Missed Classes or Camp Days

There are no makeup classes or camp days, or refund or credit for missed days.

Nonrefundable Fees

  • Class fees are nonrefundable unless a class is canceled by West Windsor Arts. Medical withdrawals incur a fee of $25 per registration.

  • Spring and summer camp registrations include a nonrefundable fee of $50 per attendee per camp week purchased. 

  • Fall camp and spring break single-day registration includes a nonrefundable fee of $25 per attendee.

Medical Withdrawal

Withdrawals due to medical reasons are eligible for a refund, less the nonrefundable fees, with a written request accompanied by a physician’s note. If the registrant attends a portion of the class or camp, the amount of the refund will be calculated based on the fee paid minus the amount prorated for days attended and the nonrefundable registration fee.

There are NO REFUNDS on class registrations unless the class is canceled by West Windsor Arts. 

Cancellations

  • If an event is canceled by West Windsor Arts, a full refund will be offered.
    Refunds will only be made to the original purchaser’s credit or debit card used during purchase and issued for the value of the registration. Check and cash payments will be refunded by check to the purchaser’s name and address listed during the purchase.
  • Cancellations arising from an “Act of God” will be credited accordingly to a similar future event. Visit our website for up-to-date alerts regarding weather-related closings.

Credits have no cash value and must be used before the expiration date.

Please note cancellation and withdrawal policies for camps are specific to a camp season.

Credits: West Windsor Arts reserves the right to offer a partial credit, less the nonrefundable fee, if it is determined a camp is not a good fit for the attendee. 

Fall Camp

Full Refund:
In the event of a cancellation by West Windsor Arts, registration fees will be fully refunded.

Partial Refund:
In case of early nonmedical-related withdrawal: Written notification must be received by October 20. Registration fees will be refunded less the nonrefundable fee of $25.

No Refund:
A refund will not be issued for requests received after October 20, when the camp is in session, or if a child is sent home from camp due to behavioral issues, or if a camper decides not to attend the program or leaves early for any reason.

Credits:
West Windsor Arts reserves the right to offer a partial credit, less the nonrefundable fee, if it is determined a camp is not a good fit for the attendee. Credits can only be applied toward the following winter or spring classes or spring break camp.

Spring Camp

Full Refund:
Camp fees are fully refundable (less the nonrefundable fee) with written notification received by February 23.

Partial Refund:
75% of camp fees (less the nonrefundable fee) will be issued when notified by March 8.

No Refund:
A refund will not be issued if refund requests are made after March 8, or if a child is sent home from camp due to behavioral issues, or if a camper decides not to attend the program or leaves early for any reason.

Credits:
West Windsor Arts reserves the right to offer a partial credit, less the nonrefundable fee, if it is determined a camp is not a good fit for the attendee. Credits can only be used toward camp registrations until the final week of summer camp in the calendar year the credit is issued.

Summer Camp

Full Refund:
Camp fees are fully refundable, less the nonrefundable fee, with written notification received by April 26.

Partial Refund:
75% of camp fees, less the nonrefundable fee, are refundable with written notification received between April 27 and June 14.

No Refund:
A refund will not be issued after June 14, or when camp is in session, or if a child is sent home from camp due to behavioral issues, or if a camper decides not to attend the program or leaves early for any reason.

Credits:
West Windsor Arts reserves the right to offer a partial credit, less the nonrefundable fee, if it is determined a camp is not a good fit for the attendee. Credits can only be used toward camp registrations until the final week of summer camp in the calendar year the credit is issued.

Cancellations

Once the contract is signed, cancellation for any reason by the client will result in loss of the deposit.

Rescheduling or Postponing

The date of a scheduled event can only be postponed or rescheduled due to an “Act of God” (e.g., weather related or roads closed by order of a government agency) or for extreme circumstances. A new date(s) for a postponed event will have to be renegotiated with WWA. Rescheduling is permitted within one month of the contracted date, subject to space availability, and will incur an additional fee of $100.

Studio Practices and Cleaning Procedures

Cleaning the Sink

  • Sink and surfaces must remain as paint free as possible. When you see paint residue while it is wet, please wipe off with paper towels on surfaces or scrub the sink with a sponge or brush to get the surface clean.
  • Please do not leave any objects in the sink, other than the sink screen trap.
  • The sink has a stopper feature with a lever mechanism under the sink. Sometimes the lever may get moved, causing the sink to stop up. You can move the lever to see if this is the cause.
  • Do not dump any glops or large amounts of paint into the sink. Paint should be cleaned off with paper towels and thrown away in the trash before cleaning palette or brushes.
  • Nothing should be disposed of in the sink apart from water (turpentine, gamsol, oil, solvent, glue, clay, paint, etc.).

Safety Information

  • There is a first aid kit located on the far right of the counter with the sink. Please use this if you get injured.
  • Inform the front desk of any emergency health situation.
  • If there is broken glass or a solvent spill, please inform the front desk.

Oil Paint Disposal

  • Any garbage with oil paint, solvent or other cleaning materials should be disposed of in the bright red trash bin.
  • Oil paint brushes should never be washed in the sink; no solvent should ever be poured in the sink.

Keeping Floors Clean

  • If there are pencil shavings, eraser bits or other debris on the floor when you are finished, there is a broom in the far left closet. Please use this to sweep the materials.
  • If there is a liquid spill, clean to the best of your ability with paper towels and inform the front desk.

Supplies in the Studio

  • No supplies in the studio are available to use.
  • If you have a question about usage for our paper cutter, scissors, pencil sharpener or rulers, please ask staff at the front desk.
